The Account Coordinator plays a critical role in supporting client service operations, ensuring timely submissions, offer management, and communication across teams. Responsibilities include:

1. Submissions

  • Review candidate submissions in the portal.
  • Check submission status via the VMS.
  • Follow up on submission status through the portal (some portals allow comment-based follow-ups).
  • Send follow-up emails to the point of contact for submissions pending more than 48 hours (with CSM authorization).
  • Update submission status in the ATS.

2. Offers and Extensions

  • Add extension notes in the ATS.
  • Follow up with recruiters to confirm and update extension statuses.
  • Create confirmation forms for accepted offers and extensions.
  • Communicate new offer details to the Delivery Team.

3. First-Day Information (FDI) Emails

  • Weekly review and update of start dates in the Tracker.
  • Send first-day information emails to workers or temps scheduled to start.
  • Confirm email receipt with the assigned recruiter or lead once FDI is sent.

4. Tracker Maintenance

  • Maintain the CSM (Account Manager’s) Tracker to ensure accuracy and visibility.

5. Hot Job Tracker

  • Add hot jobs received via email to the tracker.
  • Extract and download urgent needs from the VMS portal.

6. Candidate Audits

  • Conduct twice-weekly audits of active and booked candidates.
  • Make necessary edits in the ATS to ensure accuracy and alignment with current status.

7. Documentation Updates

  • Revise dealsheets and assignment acceptance forms as needed.

8. Additional Duties

  • Perform other tasks as assigned to support operational efficiency and client satisfaction.
